The introduction of this Privacy Policy should highlight the fact that Bluma Limited are determined to ensure that all necessary steps are taken to protect your privacy.

This policy establishes the company’s position, role and responsibilities and clarifies what is expected from everybody involved within the company. It very clearly highlights the importance placed by Bluma Limited in the protection of our employees and clients.

This policy is written in line with the Data protection Act 2018 and the EU general Data protection regulations.

We collect information about you for the following reasons:

  • Employment terms
  • Processing orders
  • Website advertising

Background

This policy applies between Bluma Limited, our website users, clients and employees.

Key Principles

Bluma Limited will take responsibility for:

  • Respecting and promoting the rights and wishes of our employees and clients.
  • Recruit, train and supervise all staff members to adopt best practice in dealing with information.
  • Recruit all employees to adopt and abide by the appropriate data protection regulations.
  • Respond to any allegations of misuse of the information in a timely manner.
  • Regularly review the policy.

The type of information we will collect about you include:

  • Relevant supporting information pertinent to the role.

We will never collect sensitive information about you without your explicit consent. The following checks will be carried out on people who are employed by Bluma Limited or subcontracted to work on behalf of Bluma Limited:

  • Satisfactory references
  • Criminal Records Bureau checks
  • Checks to confirm the right to work in the United Kingdom.
  • Where the appointee has lived outside the United Kingdom, further checks may be considered appropriate where obtaining a DBS Disclosure alone is not sufficient to establish suitability to work.
  • DBS checks will be renewed in accordance with bureau guidelines.

Good Practice means:

The personal information that we hold will be accurate and up to date. You can check the information that we hold about you by direct approach or by e-mail. If we find any inaccuracies, we will delete it or correct it promptly.

The personal information we hold will be held securely in accordance with the law.

Reporting any concerns/incidences to the appropriate contact within Bluma Limited is paramount.

Definitions and interpretation:

Data:  Collectively means all the information that is submitted to or by Bluma limited. Wherever applicable incorporates the definitions provided by the following Acts:

  • Data protection 2018 (GDPR)
  • EU general data protection regulations
  • Privacy and electronic communications regulations 2003 and 2011.

User: Means any third party that accesses the website and is not an employee of Bluma Limited.

Environmental Policy

Introduction and aim

Bluma Limited is a Facilities business, operating from a site in Warrington Cheshire. Our main services are Grounds Maintenance, Window Cleaning, Communal Cleaning and soft Landscaping. We recognise that our operations result in emissions to air and water, and the generation of waste. It is our aim to comply with legislation and other requirements, continue to reduce the environmental impacts of our business and operate in an environmentally responsible manner. This policy describes how we will achieve our aim.

Responsibility

This environmental policy applies to all of our operations including management, office services, site operations, and procurement. Lewis Nunn has overall responsibility for ensuring that sufficient resources are made available to enable the business to achieve our environmental objectives and targets and that the policy is implemented.

Managers and Team Leaders have the day-to-day responsibility for ensuring that the requirements of this policy are being followed and for monitoring the effectiveness of the objectives. However, all employees have a responsibility in their area to ensure that the aims and objectives of the policy are met.

Objectives

During 2025 we aim to:

  • Make efficient use of natural resources by conserving energy and water, minimising waste and recycling where possible.
  • Meet our duty of care requirements in relation to waste by ensuring the safe keeping, transportation and subsequent recovery or disposal of waste.
  • Use recycled construction materials whenever these can be commercially justified.
  • Keep transport use to a minimum and regularly service vehicles to maintain their efficiency.
  • Work with suppliers to ensure they recognise and reduce the environmental impact of their products and transportation.
  • Include environmental considerations in investment decisions for new plant, equipment or working practices.
  • Inform and train all employees of the company’s environmental objectives and how they can assist in meeting targets.
  • Use the most environmentally friendly cleaning products whenever possible.

Targets

To achieve our aims, we have set ourselves the following targets:

  • Reduce vehicle emissions to air by the scheduling of work to reduce mileage and servicing all vehicles.
  • Reduce the generation of general and hazardous wastes by reducing the amount of stock held in stores and ensuring all jobs are accurately scoped and priced to ensure material usage is minimised.
  • Recycle as much paper, cardboard, plastic and metal waste generated in the office as possible.
  • Reduce paper usage by increasing the use of e-mail and electronic documentation.
  • Reduce energy consumption by monitoring energy usage and training staff on basic housekeeping.

Monitoring and auditing

Progress against these objectives will be monitored through several mediums including:

  • Annual management review of this environmental policy and any associated environmental procedures.
  • Regular internal audits of environmental procedures.
  • The monitoring of environmental objectives and associated KPI’s / targets.
  • Monthly management meetings.

Communication

All members of staff will receive training on the environmental responsibilities of their role and will be informed of any updates or revisions via e-mail or team meetings.

We are committed to an ongoing programme of equal employment and non-discrimination for all and comply with all relevant obligations under the Equality Act 2010.

This policy is not contractual but sets out the way in which we aim to manage equal opportunities. This policy applies to all employees and workers. To ensure that this policy complies with the law and remains effective and relevant we reserve the right to amend it as necessary from time to time.

All job applicants, employees and workers will be made aware of this policy and a copy of the policy will be made available to all employees on joining the business. Customers/clients may also be made aware.

We take a strict approach to breaches of this policy, which will be dealt with in accordance with our Disciplinary Procedure. Serious cases of deliberate discrimination may amount to gross misconduct resulting in dismissal.

All complaints will be treated in confidence and investigated as appropriate.

There must be no victimisation or retaliation against staff who complain about discrimination. However, making a false allegation deliberately and in bad faith will be treated as misconduct and dealt with under our Disciplinary Procedure.

General Statement of Policy & Code of Conduct

The company acknowledges and accepts its legal responsibilities for securing the health, safety, and welfare of all its employees, of subcontractors working on its behalf and all others affected by its activities.

It is the intent of the Company to provide safe and healthy working conditions for all our employees by:

  • Providing safe plant and equipment
  • Providing Safe systems of work
  • Providing a safe place of work and safe egress and access
  • Providing for the safe use, handling, storage and transport of all particles and substances
  • Providing a safe working environment
  • Providing adequate and sufficient information, instruction, training, and supervision.

It is also the intent of the Company to enlist the support of all employees towards achieving the safest possible working conditions and to encourage consultation on all health and safety matters.

Support, co-operation, and consultation will also be sought from clients, other contractors and any other persons who might be expected to be included in such discussions. To this end regular health and safety discussions will be held. 

The Company accepts its responsibility for the health and safety of all other people who may be affected by our activities including clients, employees, other contractors, and members of the public. The Company also accepts responsibility for any affects our activities may have on the environment.

  • The allocation of duties for safety matters and the arrangements which will be made to implement the policy are set out in this document.
  • This policy will be kept up to date particularly as regards any changes in activities or the nature or size of the business and will be reviewed annually.

General Statement of Intent

The company believes that excellence in the management of health and safety is an essential element within its overall business plan – a good health and safety record goes hand in hand with high productivity and quality standards. People are the most important asset to this company, and therefore we are totally committed to ensuring their health, safety and welfare at all times.

From an economic point of view, the company believes that prevention is not only better, but cheaper than cure. There is no necessary conflict between humanitarian and commercial consideration. Profits and safety are not in competition. On the contrary, safety is good business.

From a legal perspective, the company is committed to ensuring that it complies with all relevant health and safety legislation. Where it is reasonably practicable to do so, the company will strive to go beyond the requirements of legislation.

The company is committed to ongoing monitoring and review processes, so that continual improvement in the management of health and safety can be achieved.

Our general intentions are:

  • To provide adequate control of the Health and Safety risks arising from our work activities.
  • Provide adequate financial and physical resources to maintain and improve Health Safety and Welfare in the working environment.
  • To consult with our employees on matters affecting their Health & Safety.

Modern Slavery Policy

Overview and how we define Modern Slavery

Slavery, child labour and human trafficking are serious crimes and a violation of fundamental human rights. There are various forms of this ‘Modern Slavery’ which deprives victims of their liberty and usually involves financial exploitation.

At Bluma Limited we conduct our business fairly, ethically and with respect to fundamental human rights. We are fully committed to the prevention of all forms of slavery, forced labour or servitude, child labour and human-trafficking, both in our business and in our supply chains. We will not tolerate it.

This policy does not form part of your contract of employment, and we reserve the right to amend this policy at any time.

You are required to read and comply with this policy if you work for, or on behalf of the Company in any capacity including as: an employee, director, officer, worker, consultant, volunteer, supplier or service provider.

The Company’s Anti-Slavery Officer Lewis Nunn (‘ASO’) is responsible for this policy.

Failure to comply with our policy may result in disciplinary action, including dismissal, or termination of the contract between any party and the Company. It could also involve other legal steps being taken against the party involved. 

Preventing slavery and human-trafficking in our business

The Company makes appropriate checks on all employees, recruitment agencies and suppliers, to know who is working for, or on behalf of us.

The Company provides every employee with a written contract of employment. We pay every employee in accordance with the law. We comply with our legal obligations to ensure the health and safety of all of our employees and workers, including in relation to working hours, rest breaks and holidays.

All employees are required to sign a copy of this policy to show they have read and understood it. All managers are provided with training on this policy.

If you are one of our suppliers

If you supply the Company with goods or services, you must assess your business and supply chains and confirm to our ASO that you comply with your legal obligations, in relation to Modern Slavery, and are committed to ensuring there is no slavery, forced labour or servitude, child labour or human trafficking taking place in your business, or any of your supply chains.  You must also provide a copy of your anti-slavery policy.

If you breach this policy or are found to have slavery or human-trafficking in your business, or knowingly in your supply chain, the Company may terminate the contract with you and pursue its legal remedies against you.

If you are an Employee or Worker providing services for us

You must immediately report any suspicions of Modern Slavery or human-trafficking in our business or supply chains to our ASO. Our ASO will investigate and report to our Board of Directors, within a reasonable time, on actions which may require to be taken.

You will not suffer any detrimental treatment as a result of reporting any genuine concerns, raised in good faith, under this policy. This applies, even if after investigation, they are found to be mistaken.  If you believe that you have suffered any such treatment, you should immediately inform our ASO and if you are an employee, refer to our Grievance and Whistle blowing Policies.

Quality Policy

Bluma Limited, (known herein as the company) is dedicated to this quality policy and will endeavour to ensure that its products and services fully meet the requirements of its customers at all times. The goal of the company is to achieve a high level of customer satisfaction at all times. Commitment to the implementation of supporting managerial and business operational systems is essential to realising that goal. It is also recognised that the business environment will have an impact on our quality policy.

Bluma Limited is committed to the management of mutually beneficial relationships between clients and suppliers, working together in the implementation of this policy and in continually improving the quality of the products and/or services it supplies. In the provision of our goods and services we will:

  1. Ensure that we fully identify and strive to meet the needs and expectations of our customers and conform to the agreed compliance standards for the products and services we supply.
  2. Assess the risk of our service/product provision processes so we can mitigate potential risks of process defects.
  3. Ensure that our people are suitably competent to carry out their work activities to required time-scales in a manner that will not adversely affect the quality of goods/services we supply.
  4. Monitor and regularly review the business environment in which we operate and the associated internal and external issues that affect us.

To ensure that this policy is successfully implemented, our people will be responsible for identifying customer requirements and ensuring that the correct process is followed to meet those requirements.

Objectives will be set to ensure that the requirements of this policy are met, and that continual improvement is maintained in line with the spirit of the policy and the changing business environment. These objectives will be monitored during management reviews.

The commitments outlined in this quality policy and the improvement objectives will be communicated and available to all relevant interested parties at all times. Awareness training will be an integral part of the strategy to achieve the objectives.

The policy will be reviewed at regular intervals to ensure that it continues to be effective and meet customer expectations.
